How we look after your information

Last updated 29 October 2026

This notice explains what information Football S&C with BG Coaching collects, why, who else handles it, how long it's kept and what your rights are. It covers the whole app, including BG Rehab (injury rehab) and Team Strength and Conditioning session bookings.

Who we are

The app is run by Brad Gale, trading as BG Coaching, a football strength and conditioning coach based in the UK. BG Coaching is the data controller for your information. If you have any questions about your data, email bradgalecoaching@gmail.com.

What we collect

Your account. Your email address and password. Passwords are stored in encrypted form by our sign-in provider, Google Firebase. We can never see your password.

BG Rehab (health information). If you use BG Rehab while signed in, we store:

  • the type and severity of your injury, and the date it happened or of your surgery
  • your target match date, if you add one
  • your daily check-ins: pain and stiffness scores, confidence scores, and whether you reported a red-flag symptom
  • which exercises you completed, which rehab phase you're in, and which exit tests you've ticked
  • your previous injuries and their check-in history

This is health information, which the law treats as a special category of personal data and protects more strictly.

Team session bookings. When you book a team session, we store the team or club name, the contact's name, phone number and email, the age group and rough squad size, the session dates and focus, any notes you add, and whether the booking has been paid. Please don't name individual players or share their medical details in the notes.

Squad fitness test results. If your team books a testing session, the BG Coaching coach records each player's first name or initials, position, and test scores (sprint times, jump height, agility time and Yo-Yo distance). The team manager who booked can see these results. Managers should let their players know their scores will be recorded.

Training programmes and memberships. If you ask for a programme or membership, we store your email address, what you asked for and when. We also store which programmes and membership you have access to, and which programme sessions you've ticked off.

Coaches. If you coach for BG Coaching, we store your name and your account ID so you can see the sessions you're running, and the attendance numbers you record.

On your phone. The app keeps a copy of your rehab plan and check-ins in your browser's storage, so it works offline. If you choose Use without an account, your rehab information stays on your phone only and is never sent to us. The app uses no advertising or tracking cookies and no analytics.

Why we use it, and our legal basis

Booking and payment recordsKeeping business accountsLegal obligation (Article 6(1)(c))

We don't sell your information, use it for advertising, or share it with clubs, agents or anyone else. Brad doesn't look at individual players' rehab information unless you ask him to. As the owner of the system, he could technically access stored data, for example to fix a problem.

BG Rehab gives general guidance, not medical advice. Brad is a coach, not a doctor or physiotherapist, and the app doesn't diagnose injuries.

Who else handles your information

We use a few trusted service providers to run the app. They only process your information on our instructions.

  • The BG Coaching team. Team sessions at Everlast Gyms Poole are run by members of the BG Coaching team. The coach running your session is given your booking details (team, contact name, phone number, session times and notes) so they can contact you and run it. Coaches never see anyone's BG Rehab information.
  • Google Firebase (Google Cloud) runs sign-in and stores your account, rehab and booking information. The database is in London. Firebase's sign-in service may process your email address outside the UK, protected by Google's approved data transfer safeguards.
  • Netlify hosts the website. Like any web host, it records technical information such as your IP address in server logs. Netlify is based in the US and uses approved data transfer safeguards.
  • Google Fonts supplies the app's typefaces. When the app loads them, Google receives your IP address.
  • Stripe, if you pay for a session by card through a payment link. Stripe handles your card details, and we never see them.
  • YouTube, only if you tap Find a demo video. That opens YouTube, which has its own privacy policy.

How long we keep it

  • Your account and rehab information: until you delete your account. If an account isn't used for 2 years, we delete it and everything in it.
  • Fitness test results: 2 years after the test, so teams can track progress season to season, unless the team asks us to delete them sooner.
  • Programme progress: deleted when you delete your account. Records of what you bought are kept with booking records for tax.
  • Booking records: 6 years after the session, because we have to keep business records for tax. If you ask, we can remove contact details we no longer need sooner.

Your rights

You have the right to:

  • get a copy of the information we hold about you
  • have it corrected if it's wrong
  • have it deleted
  • restrict or object to how we use it
  • receive it in a format you can take elsewhere
  • withdraw your consent at any time, without affecting anything done before you withdrew it

To delete everything yourself: open BG Rehab, tap My account, then Delete my account. Your account, plan and all check-ins are removed straight away.

For anything else, email bradgalecoaching@gmail.com. We'll reply within one month.

Young players

The app is for players aged 13 and over. If you're under 13, a parent or guardian needs to create the account and use it with you. If you're under 18, we recommend talking to a parent or guardian about your injury, and seeing a doctor or physio.

Keeping it secure

Your information is encrypted when it's sent and when it's stored. Our security rules mean only you can read or change your rehab record, and only you and the coach can see your bookings.

Complaints

If you're unhappy with how we've handled your information, please contact us first. You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, at ico.org.uk/make-a-complaint or on 0303 123 1113.

Changes to this notice

If we make important changes, we'll update the date at the top and let account holders know in the app.
